How do you export a Shopify payout report for your accountant?

Published ·
At a glance
Short answer
On Shopify Payments, one payout exports as an emailed CSV of its transactions; a period summary, as the activity report PDF.
Where the CSV goes
Emailed to you and the store owner
A period in a spreadsheet
CSV of all transactions or a date range, from Settings > Payments
Activity report format
PDF — the pages we read describe no CSV export
Report range and delay
Custom ranges from January 1, 2025; 3-day data delay
Who can open the activity report
Store owner, or staff with permission to view payouts

How do you export one payout for a bank deposit?

The payout export steps differ between the new payouts view, in early access for some merchants, and the original one.

In Shopify admin
  1. Finance
  2. Payouts
  1. Click the payout date. New view: then click the payout. Original view: click the specific payout if several fell on one day.
  2. Click Export — an icon in the new view's payout details.
  3. Click Export payout transactions.

The CSV is emailed to you and the store owner, with each transaction's Amount, Fee and Net.

How do you export a month or quarter as a PDF?

Open the Shopify Payments activity report — formerly the payout reconciliation report — in Finance > Documents, pick a range (custom from January 1, 2025) and a payout currency, then click Export to PDF. The PDF holds the same Summary and Activity shown in your admin.

The pages we read on October 18, 2026, including the August 22, 2026 changelog, describe no CSV of this report. It excludes Shopify billing fees and third-party processors, and has a 3-day data delay, so we'd export a month 3 days after it closes.

For the same period in a spreadsheet instead, go to Settings > Payments, then View payouts, View Transactions and Export; pick all transactions or a date range, choose the CSV type, then click Export balance transactions. Shopify's help page lists the same columns for this CSV as for a payout CSV.

What should your accountant match each export against?

To reconcile one bank deposit, match it to that payout's CSV. Payouts follow their own schedule, so activity report totals for a period might not match its deposits — the full reconciliation workflow is covered separately.

A January 8, 2026 changelog adds a Bank Reference to payout exports; the column table we read on October 18, 2026 omits it. Without it, give your bank the payout's transfer reference number, which the payout details show where available.

The activity report isn't a statement of revenue for accounting purposes; sales built on orders and captured payments are in Finance reports, under Analytics > Reports.

The activity report opens for the store owner or staff permitted to view payouts — which permission a collaborator needs.
