How do you accept a collaborator request in Shopify?

Published ·
At a glance
Short answer
On a single store, the owner or an Administrator opens Settings > Users, filters by Requests, edits the role and clicks Accept request.
Who can accept
Single store: owner or Administrator. Organization (auto-generated role): Organization owner or Organization administrator
Request code
4-digit, under Settings > Users > Security
Documented error
"The role name already exists": remove the auto-generated role, assign existing roles
Request never arrives
Two requests already pending, an outdated code, or a staff account on the partner's business email
Undo
Removal is permanent; the partner must send a new request

Where do you find and accept the request?

Give the partner your 4-digit collaborator request code from Settings > Users > Security. Partners need it to ask, though Shopify.dev documents code-less requests, such as when their organization's app is on your store. You then get an email and a Shopify Home notification.

The Collaborators section under Security holds the code you share (digits masked). Generate new code replaces it.

Shopify Collaborator Access Explained: Requesting & Giving Access EasilyA third-party walkthrough (Know It Today, October 2025); the store-owner approval starts at 2:20. It predates the partner details Shopify added to new requests, and calls the partner side the Partner Dashboard, now the Dev Dashboard.

What should you check before you accept?

Collaborators can request every available permission, so narrowing the request is your call. Shopify asks you to:

  • Confirm you recognize the partner and expected the request; if not, don't accept it.
  • Review the permissions they requested.
  • Contact the partner directly about anything unexpected.
  • Grant only the permissions their work needs.

New requests since July 30, 2026 can show partner details, which don't guarantee identity, work quality or intent. You can also limit a collaborator to specific apps and channels; for what an agency should get, see our guide to store access.

What if accepting fails, or you want to undo it?

On a single store only the owner or an Administrator can accept. In an organization, only the Organization owner and Organization administrators can accept the auto-generated role; store owners, Store user administrators and Organization user administrators can only assign existing roles.

If you see "The role name already exists", remove the auto-generated role and assign existing roles. The collaborator, user-role and Shopify.dev collaborations pages we read on October 29, 2026 name no other error message for accepting a request.

No request at all? A store holds at most two pending requests across all organizations — accept or reject one first. An outdated code no longer works. A request also fails while a staff account uses the partner's business email; Shopify tells the partner to have the store owner remove that account.

Removing a collaborator later is permanent: they must send a new request.
